Faculty and Staff: An Enhanced Email Service Arrives this Summer
We are pleased to announce that My Pitt Email, an upgraded version of the University's Enterprise Exchange email service, will be implemented for all faculty and staff this summer. Your current University email address will not change. All faculty and staff who currently use the University's Enterprise Exchange email service will be upgraded automatically to My Pitt Email (Exchange 2013). University faculty and staff who still use the University's legacy email system (known as IMAP/Webmail) may choose to remain on the legacy email system or move to My Pitt Email.

If you currently use Microsoft Outlook 2003 to read your email on your desktop computer, you will need to move to Outlook 2007, Outlook 2010, or Outlook 2013 before the upgrade.

All faculty and staff are provided with a mailbox on the University's legacy email system (IMAP/Webmail) by default. The most common way to access your IMAP/Webmail mailbox is by clicking the Webmail link at the top of any page in My Pitt (my.pitt.edu). You may also have set up your smartphone, tablet, or a desktop email client like Mozilla Thunderbird to read your IMAP mail.
Enterprise Exchange is different than IMAP because in addition to email it enables you to schedule meetings through shared calendars, creates tasks, and manage contacts. If you use Enterprise Exchange email, then you likely access it using a desktop email client like Microsoft Outlook or by clicking the Exchange link that you see at the top of any page within My Pitt (my.pitt.edu).
No. Your current University email address will stay the same.
We are working hard to ensure a smooth transition. You can help us by taking a few moments to set your email preferences by July 24. You will select which email service you want to use and whether you want to forward your University email after the upgrade. Even if you forward your University email today, you still need to re-set your preferences. Please remember that if you decide to stay on the legacy (IMAP/Webmail) email service, then you will not be able to forward your University email.
Note: If you are using Microsoft Outlook 2003 to read your Enterprise Exchange email today, you will need to upgrade to Microsoft Outlook 2007 or later.
If today you use the University's legacy email system (IMAP/Webmail) and you decide to move to My Pitt Email, then after the upgrade you will need to update the settings on your desktop email client, smartphone, or tablet to continue receiving your University email on those devices. We will provide instructions in the near future.
If today you use the University's Enterprise Exchange email system, you will need to restart your Microsoft Outlook desktop email client after your mailbox has been moved.
If today you use a desktop email client like Microsoft Outlook 2007 or later to receive your Enterprise Exchange email, then you should not notice any difference in the way your desktop email client looks and functions. If you access your Enterprise Exchange email by clicking the Exchange link at My Pitt (my.pitt.edu), then you will notice an enhanced web interface with a number of new features.
If you use the legacy email system (IMAP/Webmail) today, then you will gain access to a number of significant improvements, including the ability to schedule meetings with colleagues, view and manage contacts, create tasks, and view real-time availability through Microsoft Outlook. The web interface that you access through My Pitt (my.pitt.edu) will also be much improved.
Faculty and staff who currently use Enterprise Exchange email will be upgraded to My Pitt Email on a rolling basis starting July 25. After your mailbox has been moved to My Pitt Email, you will need to restart your desktop email client.
Faculty and staff who currently use the legacy email system (IMAP/Webmail) and choose to move to My Pitt Email will have a My Pitt Email mailbox created for them on July 26, 2014. You will receive an email in your current Inbox informing you when My Pitt Email is ready to use. That email will include instructions explaining how to access your My Pitt Email.
If you move from the legacy email system (IMAP/Webmail) to My Pitt Email, you can choose to have your old messages moved to your My Pitt Email mailbox when you set your Email Preferences. If you currently use Enterprise Exchange email, your old messages will be moved to My Pitt Email automatically.
If you choose to use My Pitt Email, you will be able to forward your University email to one additional address when you set your Email Preferences. If you choose to remain on the legacy email system (IMAP/Webmail), you cannot forward your University email to another address.
Yes. If you want to continue forwarding your mail after the upgrade, you must complete the Email Preferences page.
You will have the option of keeping or deleting your legacy email (IMAP/Webmail) mailbox when you set your Email Preferences. We strongly recommend you delete your old IMAP mailbox if it is no longer needed.
Yes. You will be able to increase your email storage space (quota) by 1 GB at a time through your Profile page at My Pitt (my.pitt.edu). You will be able to increase your storage space every 30 days if you have less than 500 MB of your existing quota remaining.
Yes. You will be able to access your University email at my.pitt.edu just as you do today.
If today you use a smartphone or tablet to receive your Enterprise Exchange email, our initial testing indicates you will not need to update your settings. Your devices will continue to work. If you use a desktop email client (Microsoft Outlook 2007 or later), you will also not need to update your settings.
If today you use a desktop email client, smartphone, or tablet to receive your IMAP email, then after the upgrade you will need to update your settings to receive your My Pitt Email on those devices. We will post instructions explaining how to do this in the near future.
Yes. Outlook 2003 is not supported with Microsoft Exchange 2013. We strongly recommend you upgrade to Microsoft Outlook 2007 (Service Pack 3) or later before July 25, 2014 to ensure that you can continue to receive mail using your desktop email client.
Microsoft lists the following as supported email clients:
- Outlook 2013 (15.0.4420.1017)
- Outlook 2010 Service Pack 1 with the Outlook 2010 November 2012 update (14.0.6126.5000).
- Outlook 2007 Service Pack 3 with the Outlook 2007 November 2012 update (12.0.6665.5000).
- Entourage 2008 for Mac, Web Services Edition
- Outlook for Mac 2011
You will be able to send an email attachment that is up to 25 MB in size. However, we strongly recommend you use pitt.box.com for sending and sharing large files. pitt.box.com makes it simple to keep track of the most recent version of your file, notifies you when someone has previewed or downloaded the file you have shared, and enables you to add comments right alongside files in a threaded discussion. Another good reason to use pitt.box.com for large files is that some external email services only permit attachments smaller than 15 MB, which means a large attachment you send to someone via email may not make it to its intended recipient.
Yes. As part of the upgrade we are implementing a new spam and virus email filtering solution. The new service will be in place by the start of fall term. You can learn how to use the new service here >
No. University mailboxes for faculty and staff will be hosted on a Microsoft Exchange 2013 server located on-site at the University's Network Operations Center. Student mailboxes will be hosted in the cloud as part Microsoft's Exchange Online/Office 365 platform.
Yes. When connecting your device, you will use the server name exchange.pitt.edu. You will need to use SSL encryption on port 993. If you have a mobile device, we recommend using ActiveSync instead of IMAP if your device supports it. In addition to email, ActiveSync allows you to synchronize your calendar and contact data.
The new email service is broadly supported on mobile devices, including Windows, Android, and iOS operating systems. We recommend you connect your mobile device using ActiveSync (which supports email, calendar, and contact data), but you can also connect using IMAP. More detailed instructions will be provided soon.
We recommend you set your email preferences as soon as possible. It only takes a few minutes. You will need to set your email preferences no later than Thursday, July 24 so that we can apply them during the upgrade.
No action needs to be taken with resource accounts. They will continue to receive email as they do today. After July 27, resource accounts will also have the ability to forward email to one additional email address.
No. Mailing lists will not be affected by the upgrade. They will continue to work as they do today.
During the migration, some spam filter settings were applied incorrectly on the email server. You can adjust your settings by selecting "No Automatic Filtering" and that will resolve this problem. To get to the settings, please select the Junk Email folder and choose options under the Home tab.
After the upgrade, faculty and staff will have access to a new and much-improved Web interface. To access My Pitt Email, faculty and staff will log in to My Pitt (my.pitt.edu) and click the My Pitt Email link at the top of any page.
After the upgrade, faculty and staff in your department who use a desktop email client like Microsoft Outlook may also see a pop-up notification that states “The Microsoft Exchange administrator has made a change that requires you to quit and restart Outlook.” If this notice displays, please close the desktop email client and restart it. You may see this notification more than once if you are sharing an Exchange calendar with others at Pitt.
If you use Microsoft Lync, you may also be prompted to re-enter your Lync login credentials after your department has been upgraded.
