Students: A Brand New Email Experience is Coming to Pitt this Summer!

We are excited to announce that this summer we are moving all students to a new email service called My Pitt Email. The new email service is provided through Exchange Online, a component of Microsoft's Office 365 platform. My Pitt Email provides 50 GB of cloud storage, a substantial increase from the current default storage limit of 250 MB. The new service includes an online calendar you can use to create appointments, view free/busy time, and schedule meetings with others. You will also have access to an online address book that enables you to look up anyone at Pitt. You will still be able to access your email through My Pitt (my.pitt.edu), but you will notice a significantly enhanced web interface with many more features.

What You Will Need to Do After the Upgrade

We are working hard to ensure a smooth transition to the new email service. After the upgrade, there are two things you may need to do.

  1. If you have configured your smartphone, tablet, or a desktop email client to receive your University email, you will need to update your settings to continue receiving your email on that device. We will provide instructions explaining how to do this in the near future.
  2. If you forward your University email to another address today, you will need to reset your forwarding preferences after the upgrade. You will receive an email with instructions explaining how to do this once the upgrade is complete.

2. When can I start using My Pitt Email?

We will create a new My Pitt Email mailbox for all students on July 26, 2014. You will receive an email in your current Webmail Inbox informing you when the new service is ready to use. That email will include instructions explaining how to access your My Pitt Email.

3. What happens to all of my old mail?

We will automatically move all of your old email messages to your new My Pitt Email mailbox. Because of the number of students and the amount of email we have to move, this process could take up to 30 days. During that time you will receive all of your new email messages in your My Pitt Email mailbox. You will still be able to access all of your old email messages through My Pitt (Webmail) while we work on moving them. When we have finished moving your old email, we will let you know by sending an email message to your My Pitt Email mailbox.

4. What are some of the new features available in My Pitt Email?

In addition to a cleaner and more modern interface, My Pitt Email will enable you to:

  • Share your calendar with others and schedule meetings
  • Search an address book of everyone at Pitt
  • Enjoy constant access to your personal contacts, University address book, calendar, and tasks regardless of whether you access your email through My Pitt, on your mobile device, or using an email client.
  • Schedule online video conferences with Microsoft Lync
  • Use a consistent email interface across all of your devices
  • Reply to emails inline (that is, without opening a new window to compose your message)
  • Set an out-of-office notification when you are unable to respond to email
  • Work and compose emails while offline
  • Install Web apps
  • Receive an alert before you send an email if you have forgotten to include an attachment

5. How do I access my University email on my smartphone or tablet?

Once the upgrade is complete, you can configure your smartphone or tablet to receive your University email. We will provide more detailed instructions soon. Note that if your mobile device is already set up to receive your University email, you will still need to update your settings after the upgrade.

6. Can I forward my University email to another address?

Yes. You can forward your University email to one additional address. You will need to set your forwarding preferences after the upgrade. You will receive an email with instructions explaining how to do this once the upgrade is complete.

7. What is the largest email attachment I can send?

You will be able to send an email attachment that is up to 25 MB in size. However, we strongly recommend you use pitt.box.com for sending and sharing large files. pitt.box.com makes it simple to keep track of the most recent version of your file, notifies you when someone has previewed or downloaded the file you have shared, and enables you to add comments right alongside files in a threaded discussion. Another good reason to use pitt.box.com for large files is that some external email services only permit attachments smaller than 15 MB, which means a large attachment you send to someone via email may not make it to its intended recipient.

8. Why did you choose Microsoft instead of Google for email?

Microsoft and Google both provide great email services. We chose Microsoft for a number of reasons. One reason is that it will help you become proficient with the email and calendaring software you are most likely to use when you begin your career. A significant majority of companies in the U.S. use Microsoft Exchange as their corporate email solution and Microsoft Office as their productivity software. In addition, Microsoft's email solution integrates more smoothly with many of our existing technology services. For example, its integration with Lync will allow you to schedule a video conference with anyone at Pitt---right from your My Pitt Email. Microsoft has a good reputation for data privacy, and its service also integrates well with the email service we provide to faculty and staff.

9. Will spam and virus filtering change?

Yes. As part of the upgrade we are implementing a new spam and virus email filtering solution. The new service will be in place by the start of fall term. You can learn how to use the new service here > .

10. I have an Exchange email account that I use today. What will happen to it?

Some students who are employees or in certain graduate programs already use the University's Enterprise Exchange email service. If you use Exchange email today, you will also be moved to My Pitt Email. All of your old email messages---both from your legacy email system (IMAP) mailbox and your Exchange mailbox---will be automatically moved to your new My Pitt email mailbox beginning on July 25. This process could take up to 30 days.

11. Will my University email be stored in the cloud?

Yes. Student mailboxes will be hosted in the cloud as part Microsoft's Exchange Online/Office 365 platform. University mailboxes for faculty and staff will be hosted on a Microsoft Exchange 2013 server located on-site at the University's Network Operations Center.

12. My desktop email client or mobile phone uses the IMAP protocol. Will I be able to access my My Pitt Email through IMAP?

Yes. When connecting your device, you will use the server name outlook.office365.com. You will need to use SSL encryption on port 993. If you have a mobile device, we recommend using ActiveSync instead of IMAP if your device supports it. In addition to email, ActiveSync allows you to synchronize your calendar and contact data.

13. What mobile clients are supported by the new email system?

The new email service is broadly supported on mobile devices, including Windows, Android, and iOS operating systems. We recommend you connect your mobile device using ActiveSync (which supports email, calendar, and contact data), but you can also connect using IMAP. 14. I use a mailing list through the University's Mailman service. Will my mailing list be affected by the upgrade?

No. Mailing lists will not be affected by the upgrade. They will continue to work as they do today.
